Contextual Inquiry

Introduction

Contextual inquiry is a field research method in which the researcher observes and interviews people while they do their real work, in their real environment, taking the stance of an apprentice learning from a master. Formalized in the 1990s as the front end of Contextual Design, it remains the most disciplined way to learn how work actually happens, as opposed to how it is described in meetings. This article covers the method's four principles, how a session runs, and why the apprentice stance produces findings that interviews and lab sessions miss.

What is Contextual Inquiry?

Contextual inquiry is a semi-structured field method that combines observation with in-the-moment interviewing: the researcher goes to where the participant does the activity of interest, watches them do it, and asks about what they see as it happens. It was formalized by Hugh Beyer and Karen Holtzblatt as the data-gathering front end of Contextual Design, their 1997 methodology for building products from field data, and its defining move is the master-apprentice relationship: the participant is the expert in their own work, the researcher is there to learn it, and the questions flow from the work being done rather than from a script. The stance matters because it changes what people say. Asked in a conference room how they process invoices, people describe the official procedure; shown the procedure at their desk, they explain the spreadsheet on the second monitor, the step they skip, and the workaround for the field that never validates.

The Four Principles

Context. Go to the work and observe it as it happens, with the real artifacts, interruptions, and tools. Summaries and recollections abstract away exactly the details that matter; ongoing work reveals them.

Partnership. Researcher and participant explore the work together. The apprentice watches, asks why, and occasionally shares an interpretation for the participant to confirm or correct; the participant does the work and teaches. Neither the detached observer nor the interrogating interviewer.

Interpretation. Observations are turned into meaning in the session, by checking interpretations with the participant ("so you keep that list because the system loses it?"), rather than afterwards, alone. Wrong interpretations get corrected on the spot, which is the method's main defense against the researcher's assumptions.

Focus. A clear, stated perspective on what the inquiry is about, so that attention and questions stay on the relevant aspects of a rich environment, while remaining open to being redirected by what the work reveals.

How a Session Runs

1. A short conventional interview.
Ten to fifteen minutes to introduce the study, secure consent (for the participant and, as far as possible, for the colleagues who will be visible), and get an overview of the role and the work.

2. The transition.
Explicitly switching modes: "for the next while, just do what you'd normally do, and I'll ask questions as we go". Naming the shift helps participants stop performing an interview and start working.

3. The contextual interview proper.
One to two hours of observation with interruption-tolerant questioning, following the work wherever it goes, noting artifacts, sequences, breakdowns, and the language people use for what they do.

4. The wrap-up.
The researcher summarizes what they understood, the participant corrects it, and the corrections are often the richest data of the session.

Contextual Inquiry and Its Neighbors

Against shadowing, contextual inquiry is more interactive and typically shorter: the shadow stays quiet for a day, the apprentice asks all afternoon. Against ethnography, it is narrower in focus and much faster, trading months of immersion for hours of targeted observation. Against interviews, it grounds every answer in visible work, which is the whole point. Its data feeds the Contextual Design models (flow, sequence, artifact, culture, and physical models) in the full methodology, and in everyday product work feeds affinity mapping, journey maps, and the requirements that emerge from watching real breakdowns.

Doing It Well, and Its Limits

The craft is mostly restraint: not steering, not solving, not filling silences, and keeping the focus stated so a two-hour session in a rich environment doesn't dissolve into a tour. Access is the practical obstacle (workplaces, confidentiality, colleagues who didn't sign up), and the method's cost per participant is high, which argues for using it early and on a few well-chosen people (a purposive handful across roles and sites), then scaling what it finds through cheaper methods. Where physical presence is impossible, remote variants over screen-share recover a useful portion of the context, and participant-recorded walkthroughs of their own workflow (the kind of self-captured video a Ballpark study can collect) provide a lighter-weight approximation when the apprentice can't be in the room.

The Short Version

Contextual inquiry learns work by apprenticing to the people who do it: in context, in partnership, interpreting together, with a stated focus. It surfaces the actual process behind the described one, at a cost that makes it a discovery tool rather than a measurement one. Go where the work is, let the participant teach, check your interpretations out loud, and bring back the breakdowns; they are where the product opportunities live.
